Job Title: Controller
Reports to: President
Summary:
The Controller manages, coordinates and analyzes the operational and financial aspects of the organization. The Controller reports to the President and will ensure efficient services are designed to meet the needs of clients, subcontractors, vendors, and staff. Works with management team and leadership of the company, serving as a resource to help reduce costs, enhance revenues, and achieve effective utilization and quality goals and objectives.
Responsibilities:
• Directly participates in key initiatives and strategies to continually improve the quality and level of services provided.
• Responsible for overall accounting operations for the organization.
• Demonstrates strategic thinking in planning for the organizations short-term and long-term financial future.
• Responsible for ensuring systems of internal controls are in place to safeguard the organization’s assets.
• Oversees the coordination and activities of independent auditors and the preparation of the annual financial statements, Form 990 tax filings and other regulatory reporting. Processes W-9 and 1099 tax forms.
• Responsible for managing general liability and workers’ compensation insurance, including but not limited to annual audits, bonds, licensing, and permitting.
• Integral member of the team to develop a formal budget and supervises budgeting process, providing a standard of measurement so that the company and departmental performance can be evaluated.
• Produce monthly, quarterly, and annual financial reports, including balance sheets, income statements, totals by account, outstanding payables reports, and outstanding receivables reports.
• Records all transactions and prepares all financial reports for review by the 7th of every month.
• Manages all billing and receivables on a daily basis.
• Ensures payments to subcontractors are reviewed, verified, and approved.
• Maintains adequate controls of receipts and disbursements.
• Ensures that the business’s cash flow is adequate to meet its commitments daily.
• Manages the business’s travel and entertainment policy and procedural guidelines, ex*****on, and updating.
• Prepares special reports and performs studies as directed by the CEO, COO and VP of Development.
• Protects corporate assets through sound accounting policies and procedures, including:
o Provision for insurance coverage, as required; and
o Protection of assets and loss prevention through internal control and auditing.
• Contributes to corporate strategy and operations, including:
o Management of cash and other investments;
o Maintenance of bank relationship;
o Receipt, custody, and disbursement of the company’s monies and securities; and
o Credit and collection management in a timely fashion.
• Creates projection of revenue and prepares expense forecasts upon which management decisions can be based, such as:
o Accuracy of year end forecast; and
o Appropriate budgets and budget directives.
• Works with the Executive team to track and institute plans for addressing unprofitable accounts, collections, etc.
o Administers tax strategy.
• Reconcile any discrepancies in financial reports.
• Communicate with business clients or employers about their financial situations, budget needs, and budget constraints.
• Calculate, distribute, and process payroll to ensure all salaried, hourly, and contracted employees receive prompt, accurate wages. Withhold funds to employee benefits and wage garnishments. Process payroll taxes.
• Order office supplies, products, and merchandise. Record inventory levels.
Education and Experience Requirements:
• 5-7 years of experience in a related field.
• Bachelor’s degree in accounting is preferred but not required.
• Master’s degree and or CPA is not required but is preferred.
• Experience using QuickBooks, Excel, and project management software is a very big plus.
Skill Requirements:
• Excellent communication, listening, leadership and management skills are essential.
• Strong organizational skills to effectively deal with multiple tasks are important.
• Must be able to effectively work closely with staff, and peers.
• Superior Excel skills are essential.
